What should you agree before a custom order?

Agree on the finished specification, the people responsible for each approval and the dates when decisions must be made. A reference photograph can begin the conversation, but it rarely explains the materials, dimensions or acceptable variations. Put the decisions in one document both sides can refer to.

Begin with the reason for the commission: a particular colour relationship, a required drape length, a meaningful motif or a design you cannot find ready-made. Mark the features that are essential and those where you welcome the maker’s interpretation. This keeps the brief workable.

Write the specification in measurable parts

Use separate entries for the body, each border and the pallu. For colour, label every reference and ask how approval will happen; a screen image is not an exact physical colour standard. For dimensions, state the unit and whether the blouse piece is included.

  • Usable saree length and width; blouse fabric listed separately.

Separate design approval from production time

Kanchipuram craft documentation describes loom preparation before weaving begins. Ask the maker to set a schedule for the whole order rather than treating the number of days at the loom as the delivery promise.

Set payment and change terms together

Ask for the complete quoted amount, payment stages and what each stage covers. Record what happens if a requested change affects materials, work already completed or delivery. Confirm who may approve a change and ask for a revised written total before agreeing to it.

Keep the event date separate from the requested delivery date. Leave an interval for inspection, blouse work and a draping trial that suits your own schedule. Do not assume that a custom order has the same cancellation or return arrangements as a ready-made purchase.

Inspect the finished piece against the agreed brief

Compare the delivered item with the final approved version of the specification. Check the full design, measurements, documents and any agreed labels before cutting or authorising finishing. Note any concern against the relevant field, using photographs and a neutral description.

Save the brief, approvals, invoice and care instructions as the beginning of the saree’s record. If sharing the story online, ask the maker how they wish to be credited and which workshop photographs or design details they are comfortable publishing.
